Privacy Policy

Last Updated: October 2026

A&E Logistics Management ("we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our logistics management platform, which includes our web application and our iOS and Android mobile applications (together, the "Platform").

A&E Logistics Management is based in Virginia, USA, and serves customers across the United States. Where a practice differs between the web application and the mobile applications, this policy says so.

1. Information We Collect

Information You Provide to Us

We collect information that you provide directly to us, including:

  • Account Information: Name, email address, phone number, company name, business address, role (broker, subcontractor, owner operator, customer)
  • Profile Information: Business details, tax identification numbers, license information, insurance documentation
  • Authentication Data: Your email address and password. We manage sign-in ourselves and store passwords only as salted, one-way hashes; we never store your password in readable form
  • Job and Ticket Data: Dispatch information, pickup and delivery locations, material types, quantities, rates, timestamps, customer information, vehicle details
  • Financial Information: Banking details for payments, billing addresses, transaction history
  • Communication Preferences: Notification settings, SMS opt-in/opt-out status, email preferences
  • Documents: Signed tickets, invoices, bills of lading, and other business documents you upload
  • Ticket Photos and Signatures: Photos of scale tickets or delivery paperwork and signatures captured to prove delivery

Information Collected Automatically

When you use our platform, we automatically collect certain information:

  • Device Information: IP address, browser type, operating system, device model, app version
  • Usage Data: Pages and screens visited, features used
  • Log Data: Access times, error logs, performance data

Web Application

  • Location at Start Job and End Job: If a driver starts or ends a job in the web application, the browser asks for permission to use the driver's location and, if allowed, records that single location with the ticket. The web application does not track location at any other time.
  • Browser Push Notifications: If you allow notifications in your browser, we register your browser with Pushwoosh so we can send dispatch and ticket alerts. You can turn these off at any time in your browser settings.
  • Analytics: Vercel Analytics collects aggregated page-view and performance data.

Mobile Applications (iOS and Android)

  • Push Notifications: If you allow notifications, your device receives a push token from Firebase Cloud Messaging (Google), which we store with your account so we can send dispatch, ticket, and invoice alerts. You can turn notifications off at any time in your device settings or in the app's notification settings.
  • Camera and Photos: With your permission, the apps use your camera or photo library only when you choose to attach a ticket photo or upload a document. We do not access your photo library in the background.
  • Precise Location, Including in the Background (Drivers Only): Drivers who allow location access use automatic job tracking, described in detail under "Driver Location and Automatic Job Tracking" below. In short: location is used only for jobs the driver has accepted; the driver's route is recorded from arrival at the pickup site (or Start Job) until the job ends, including when the app is closed or not in use; and nothing is monitored or collected when the driver has no accepted job.
  • Location and Notification Settings: The apps report to us whether location services are on, which location permission is granted (always, while using the app, or denied), whether precise location is on, whether notifications are allowed, and, on Android, whether battery restrictions apply, together with the platform, app version, and an identifier the app creates for that installation. We send these when the app opens and when they change, so we can tell drivers and their dispatchers when automatic tracking cannot work.
  • Face ID / Fingerprint Unlock: If you turn on biometric unlock, your device checks your face or fingerprint locally. Biometric data never leaves your device and is never sent to us.
  • Crash and Diagnostic Data: Firebase Crashlytics (Google) collects crash reports and diagnostic data (such as device model, operating system version, and the app state at the time of a crash) so we can fix problems.
  • App Analytics (Android): The Android app includes Firebase Analytics (Google), which collects app usage events and the device's advertising ID to measure app stability. We do not use this data for advertising, and we do not show ads.

Driver Location and Automatic Job Tracking

Automatic job tracking is for drivers using the iOS or Android app. It starts a job when the driver arrives at the pickup site, records the route, the time at each pickup and delivery site, and the loads delivered, and ends the job. It works as follows:

  • Before the job starts: once a driver accepts a job, the app asks the phone to watch for arrival at that job's sites on the job day (this can be set up from the day before). Near the pickup site, the app takes short GPS readings on the phone to confirm the arrival. These readings are not stored or sent to us. On Android, a notification is shown while the app checks for arrival.
  • While the job is active: from arrival at the pickup site, or from when the driver taps Start Job, until the job ends, the app records the driver's precise location at regular intervals, including when the app is closed or not in use. Each point includes the latitude, longitude, accuracy, altitude, heading, speed, and time and, on Android, whether the location came from a mock-location app. The app also records arrivals at and departures from the pickup and delivery sites, the loads delivered, and the job's start and end times.
  • When the job ends: recording stops when the driver ends the job or submits the ticket. If the driver forgets, the app ends the job on its own late in the day after a period with no activity, or after the maximum job length, and records the end at the driver's last departure from a site.
  • When there is no accepted job: the app does not monitor or collect location.

Who can see it.While a job is active, the driver's current position is shown on the live map to the driver's own organization and to the organizations involved in that job, such as the broker that dispatched it and any subcontractor it was forwarded through. The recorded route, site times, loads, and hours are kept with the ticket and are visible to the same organizations; the customer that approves the ticket may also see the site times. If a driver's location is off or limited on the day of a job, those organizations are told that the driver's location is off or limited, but nothing more about the driver's settings.

Why we use it.To start and end jobs without the driver having to remember, to record loads and hours accurately, and to give the parties to the job a shared record of the work performed for approval, billing, and resolving disputes. Tracking records come only from the driver's phone and cannot be entered or changed by hand. An authorized office user can void an automatic job start recorded in error, and, if a recording is incomplete, can correct the hours and loads on the ticket itself. We do not use location for advertising and we do not sell it.

Your choices.Location access is optional. A driver can turn it off, or allow it only while using the app, at any time in the phone's settings. Without location access, jobs do not start or end on their own and the route is not recorded; the driver can still start and end each job in the app and enter loads and hours by hand. Ending the job, or signing out, stops recording right away.

How long we keep it. Location points are kept at full detail for 30 days. After that, they are reduced to one point per five minutes, and those points are kept with the ticket for as long as the ticket is kept (see Data Retention).

Note for employers and carriers. If you dispatch work to drivers or employ them, you are responsible for telling your drivers that their jobs are tracked as described here, and for getting any consent the law requires where you operate.

  • Comply with legal and regulatory requirements (tax records, financial transactions)
  • Resolve disputes and enforce agreements
  • Maintain backup and business continuity

Location points recorded during a job are kept at full detail for 30 days and then reduced to one point per five minutes, which stays with the ticket. Location and notification settings reported by the apps are kept as the latest report for each installation and are deleted with your account.

When you close your account, we will delete or anonymize your personal information within a reasonable timeframe, except where we are required to retain it for legal or business purposes (typically 7 years for financial records).

7. Your Privacy Rights

Depending on your location, you may have the following rights:

  • In the mobile apps: open Account, then tap Delete Account and confirm.
  • By email: send a deletion request from your account's email address to info@aelogisticsmanagement.com. We will confirm and complete the request within 30 days.

Deleting your account removes your profile, sign-in credentials, device push tokens, notification settings, and the location and notification settings reported by your devices. Business records you created that other organizations rely on, such as tickets (including their tracking records), invoices, and payment records, are kept for as long as the law requires (typically 7 years for financial records) and are then deleted or anonymized. If you are the owner of an organization, deleting your account may also close that organization's account. Drivers must finish any tickets still in progress before deleting their account.
